Admitting a Client to a Program

We have separated out the Admit/Transfer/Discharge workflow from the rest of the client information to make it faster if you are not using a form. This also allows it to be available in mobile browsers.

Admit via Pencil - old video as of January 2024 but still helpful
To admit a client client to a program, follow the instructions in this video. This approach does not utilize a form or encounter, and is the most basic approach to admission.
Admit via Form
You can also admit a client by adding a note and encounter, for tracking purposes. This approach can be customized to your facility's workflow depending on when and who does the admission. This approach is not required, but can help with tracking and documentation.
Step-by-Step Walkthrough
1. In a client chart, click the pencil
2. Click on Admit/Transfer/Discharge
3. Select a program and level of care
4. Notes and all empty fields pictured are optional
5. Click on Admit Client
6. Close client information window
7. In client information episodes of care, the new program will show

How to Admit a Client to a Non-Clinical Service
1. Go to the client roster
2. Find the new client you want to admit in the "Prospective" filter
3. Click on the pencil
4. Click on Admit/Transfer/Discharge
5. Click on Add Service
6. Select the service you want to add
7. Select the date they'll be starting service on
8. Click on Start Service
Discharging a client from non-clinical services
1. Go to the Client Records screen
2. Click on the client you want to discharge
3. Click on the pencil by the client's name
4. Click on Admit/Transfer/Discharge
5. Underneath "Non-Clinical Services", find the service(s) you want to discharge the client for and select a "Stop Service On" date.
6. Click on Stop Service
7. Click on Close
Discharge a Client from a client roster
1. Go to Ritten
2. Click on Client
3. Click on New Encounter
4. Click on Discharge
NOTE: Your encounter might have a slightly different name for discharge
5. Click on New Form
6. Click on Add All Suggested Forms
7. Complete form for discharge
8. Click on Apply Signature when for is complete
9. Type 6 digit PIN
10. Click on Sign
11. Click on Apply Signature to add Client signature
12. Click on Client Signature
13. Have client sign with your mouse pad
14. Click on Sign
15. Click on View Full Encounter (2 Forms) to complete other forms
16. Click on Next form
17. Complete form
18. Click on Apply Signature to add your signature and client signature as shown above
19. Click on Add Time to set the time of the discharge
20. Add in Start and End Time and Click Save Time
21. Review all forms and confirm they are Complete
22. Once all signatures are added to all forms, Discharge should have a green dot
