Encounters Screen vs. Services Screen

The Services screen is where most billing work happens — services map directly to claim line items. Use the Encounters screen when you need to investigate why an encounter didn't generate a service.

Billing Census

The Billing Census is a grid view designed for per-diem and inpatient billing. The recommended workflow: review all services generated for the period, add or remove as needed, then bulk-create claims directly from the Census.

This view works best for residential and inpatient programs where billing is expected every day. It is less suited to outpatient or encounter-based billing where the grid will be sparse.

Note: The Billing Census only shows services tied to clinical programs. Services for pre-admission assessments or clients not yet enrolled in a program will not appear here. To find those services, use the Services tab or the Service History report.

Billing Rule Warning

The Encounters list will show a warning when there is a billable encounter type with no matching service rule. If you see this warning, it may mean encounters of that type are not being billed. Review your service rule configuration or contact support.

Services Reappearing After Archiving

If a service reappears after you've archived it, a change to the client chart is triggering a service rule rerun. Common causes include A/D/T changes, authorization updates, and funding changes. To stop the reappearance, identify and address the chart change that is triggering the rerun. Contact support if you need help diagnosing the cause.

Same-Day Discharge and Readmit

If a client is discharged and readmitted on the same day, a per-diem service will not be generated for that day. Contact support if you need assistance handling this scenario.

Billing Chart Completeness

When enabled, this feature flags encounters and claims where the client chart is missing information required for submission. Affected rows appear in red on the Encounters/Services screen, and incomplete claims show a red indicator on the Claims list. This feature can be turned off under Billing Settings.
