VOBs / Eligibility Checks

What Is a VOB?

A Verification of Benefits (VOB) is an eligibility check that confirms a client's insurance status and coverage details.

Navigation: Client Chart → Funding tab → New Eligibility Check.

Minimum required: Payer Name + Member ID.

VOB results are approximately 50% accurate — payer data is not always complete or current. Always confirm coverage directly with the payer before making billing decisions. VOBs do not determine in-network or out-of-network status; that requires a direct call to the payer.

Running a VOB

  1. Navigate to Client Chart → Funding tab.

  2. Enter the client's insurance information (minimum: Payer + Member ID).

  3. Select New Eligibility Check.

  4. Select STC codes (service type codes) or specific CPT codes to query.

  5. Select the relevant provider — coverage can vary by provider.

  6. Click Run. You can navigate away while the check processes in the background.

Payer responses are inconsistent — if you query two codes, the payer may only return a response for one.

Saving Benefits to the Chart

Click the "Add" button on the benefit lines you want to keep, then "Save to Chart." Benefits saved to the chart can be edited at any time using the pencil icon.

Current VOB Experience

The VOB experience surfaces all information returned by the clearinghouse — including deductibles and remaining balances — and supports querying multiple CPT codes at once.

VOB History

  • Edit History: All edits made to benefits saved to the chart.

  • Eligibility Check History: All VOBs run for a given insurance policy.

"Provider Not on File" Error

This error means the provider is not enrolled with the payer's electronic eligibility system. Contact the payer directly to confirm eligibility enrollment for that provider.

Batch Eligibility Checks

Ritten supports running eligibility checks against multiple clients simultaneously. See the Batch Eligibility Checks article for details.
