Article Overview
You can send forms to a client and/or to their client contacts (like a parent or guardian) through the client portal. Clients and contacts can view, sign, or fill out these forms directly from their own portal.
This article covers how to send multiple forms at once from an encounter, how to quickly send a single form to a client, how to add contacts and adjust permissions after a form has already been sent, and how to revoke access to a form.
⚠️ Before you can send a form, admin need to mark it as portal eligible.
Sending Forms to the Portal
Identifying Portal Eligible Forms
After creating an encounter and adding forms to the encounter, you can identify portal eligible forms as through the icon seen in the image below.
What to Send Who
Within the encounter, select Send Forms to Portal.
📣 This will only be an option if there are forms eligible for the portal.
In addition to selecting the forms to send, choose the recipient(s).
⚠️ You'll need an email on file to send a portal invitation. Similarly, to send forms to a client contact, they need be set up as such. Check out Portal Management for a walkthrough.
Permission Types
When you send a form, you can set it as View Only, Sign Only, Edit Only, or Sign & Edit for each client or contact. Only one person can be the editor of a form at a time. Signatures can be applied once the editor has submitted and/or signed the form.
Once permissions are set for the client and any contacts, click Invite & Send.
What Happens Next?
Recipient Completes the Forms
Once all eligible forms have been sent, they will be marked as Sent to Portal.
If the form's signature requirements are met by the signature of the client/contact, Ritten updates the status of the forms to Complete in the encounter.
Contacts and/or Permissions Need Adjustments After a Form Has Been Sent
If you need to add a contact to a form that's already been sent, or change permissions on a form that's already out, do this from the individual form rather than in bulk.
Click into the form and click on the three dot menu.
Click on Send to Portal. Then, click on the client contacts if you need to send this form to other people.
💡Just click on Step 2: Recipient Permissions to only change the permissions granted to the original recipient.
After choosing Step 2: Recipient Permissions, modify the permissions as needed and select Invite & Send.
Frequently Asked Questions
What if the recipient does not fill out the form via portal, and we fill it out in person?
You will need to Revoke Access for each form sent to the portal that needs to be filled out in person.
What if the client or contact doesn't have a Portal account yet?
You can invite them to the Portal as part of the send flow, or manage their access ahead of time in Portal Management.
Can I just send one form to the portal?
If you just need to send one form to the portal, click the three dots in a form and select Send to Portal.
Can I send attachments to the portal?
Yes, navigate to the Attachments section of the chart, select the three dots and click Send to Portal.
✅ Portal users can also upload documents into the portal that get uploaded in the Attachments section of the chart.
