Overview

The DAANES integration helps Minnesota treatment providers submit required patient data to the state's Drug and Alcohol Abuse Normative Evaluation System more efficiently. Please reach out to your Implementer, Account Manager, or [email protected] if you're interested in turning this on!

What is DAANES?

SAMHSA requires all Minnesota treatment providers who receive state or federal funds to report on DAANES for all treatment admissions, regardless of funding source. There are four required interactions: Service Initiation (prior to admission), Admission (within 5 days), Six-Month Review (for opioid replacement patients), and Discharge (within 5 days). For methadone patients specifically, admission data must be entered prior to admission and discharge data the same day.

How Ritten Helps

Ritten automates the Admission and Discharge portions by generating fixed-width batch upload files that can be submitted to DAANES. The integration works through these steps:

  1. Enable the feature: Your Ritten representative will turn on the feature flag to make DAANES form sections available in the form builder and activate background jobs.

  2. Configure tenant settings: Your Ritten representative will need your DAANES ISAT Provider ID (assigned when providers register with DAANES) to the tenant config page. This is an 8 character alphanumeric id.

  3. Automatic file generation: When a form with DAANES sections is signed, the system automatically generates an admission or discharge file and attaches it to the patient chart as a DAANES Batch Upload attachment.

  4. Manual upload to DAANES: Providers download the generated file and upload it to the DAANES portal using their login credentials.

Error Handling

If required data is missing (like SSN), the file name will include "ERRORS" and the content will list all encountered issues. Staff can correct the errors and regenerate the file with another signature.o

Additional Features

Providers can optionally record DAANES IDs in Ritten under patient Identifiers to track that they've completed the manual Service Initiation process in DAANES.

Ritten to Turn The Feature Flag ON

On the Ritten side, turning on the feature flag will:

  • Make the DAANES sections available in the form builder.

  • Allow you to set a DAANES ISAT Provider ID in the tenant config page.

  • Activate the background jobs to generate DAANES files from forms with the DAANES sections in them.

  • Allow you to save a DAANES ID on a patient chart under Identifiers.

Ritte to Add DAANES ISAT Provider ID To Configuration

Your Ritten representative will need to set your ID in the tenant configuration. Providers are given this ID when they are registered to submit records to DAANES.

Add DAANES Sections To The Appropriate Forms

Add DAANES sections to forms: Two specialized form sections collect approximately 98% of the required data, mapped 1:1 with DAANES fields. Only forms with these sections trigger DAANES file generation.

DAANES File Generated After Form Is Signed

When a form with a DAANES section is signed (on signature apply currently) the generation of the appropriate DAANES file will be triggered - admissions file or discharge file. The file will be added to the chart as an attachment with the type of DAANES Batch Upload.

File Errors (Missing Needed Information)

If there were any errors in the generation of the file the word ERRORS will appear in the file name and the content of the file will be all the errors that were encountered. Most commonly this will be missing data elsewhere in the chart that is not collected directly on in the DAANES form section(like SSN).

Correct the errors and you can regenerate the form via another signature. We are working on adding a button to the file itself to trigger regeneration.

File Success

If the file was generated successfully you’ll see a DAANES file attached to the chart that does not have ERRORS in the name, and the content will be in the format required by the DAANES system. The provider should download that file and upload it into the DAANES portal using their login there.

DAANES ID Can Be Added To Chart

When the provider creates a record in DAANES for a chart (called “Service Initiation”) they can record that DAANES ID in Ritten under Identifiers in the BPI modal, if they want to record that they’ve completed that manual process. From what I understand there is also an admission and discharge ID in DAANES and so they can use this field to record whatever they are used to recording on their end
